TimberScan - Paperless AP Approval System
TimberScan is a paperless accounts-payable processing system that is fully integrated with the Sage Timberline Office AP program. TimberScan enhances your AP system by adding a highly customizable distribution, review, approval and reporting system. Here's how it works:
- It scans invoices by data entry group or approver group at a high speed scanning station
- The right people get electronic invoices automatically
- Invoices are entered into Sage Timberline Office. Then TimberScan automatically attaches the image as a file link and adds processing notes to the invoice record
- Sage Timberline Office AP is not required again until it's time to process checks. TimberScan takes over and automates your entire review and approval process.
- You can have up to three levels of approval by dollar threshold
- You can designate different approvers by job or property
- Approvers see the scanned invoice and all the data entry detail including GL distributions
- Approvers electronically stamp each invoice with their distinctive approval stamp
- Approvers / reviewers can be anywhere there is an internet connection. TimberScan supports Citrix
- Rejected invoices flow back to the data entry operator for correction
- TimberScan keeps an audit trial of all operations
- You can specify vendors and GL accounts that do not require approval, i.e. mortgage payments, insurance, etc.
- After final approval, invoices are automatically marked approved in Sage Timberline Office
- Check signers see all the details in TimberScan; the invoice, audit notes, approvals and GL distributions while signing the checks.
- TimberScan contains numerous reports. Reports can include the scanned invoice. You can run reports by job, property, date, CAM expense, open invoices, paid invoices and other criteria
- TimberScan is very easy to use and can set up to mirror your approval process
TimberScan is affordable and is available in three different versions:
- Enterprise: all functions and five user systems
- Professional: all functions but only only one approval level; five user systems
- Basic: all functions except review and approval ability; three user systems
